POSTER PRESENTER GUIDE

Poster presentations are an important part of the conference. 

Here is what you need to know: 

Posters are where great conversations happen. Your poster will be displayed for delegates to browse throughout the conference, with a dedicated poster session for delegates to meet you, ask questions, and dive deeper into your work.

Step 1: Confirm your place 

  • Complete your registration to secure your poster place in the program. 
  • Keep an eye on your inbox for any presenter updates and key deadlines. 

Step 2: Design your poster (make it easy to engage with) 

  • Design your poster at A0 size (portrait). 
  • Use a clear title that matches your accepted abstract title, plus author names and organisations. 
  • Make it readable from about 1 metre away: short text blocks, clear headings, and visual summaries (charts/diagrams). 
  • Add a QR code if you’d like delegates to access your abstract, paper, resources, contact details, or project page.

Step 3: Print your poster 

  • Print one A0 portrait poster (portrait) 
  • Bring it with you to the venue (rolled in a tube is fine).

Step 4: Upload your digital poster (required) 

 We also run a digital poster exhibition, so delegates can view posters in the app/online. 

  • Upload a PDF version of your poster to your EventsAir presenter account (digital poster upload area). 
  • If you update your poster after uploading, make sure you re-upload the final version so delegates see the correct file. 

Step 5: Prepare your “one-minute poster pitch” 

Delegates will often ask: “What’s this about?” 

Be ready with: 

  • A 1–2 sentence summary of your core message 
  • Your key finding/insight 
  • Why it matters in practice 
  • What you’d like feedback or collaboration on 

AT THE CONFERENCE 

Step 6: Check in and put your poster up 

  • Poster check-in is available 8:00–9:00am on Monday 4 May or Tuesday 5 May. 
  • At check-in you will: receive your poster number and location be directed to your board to install your poster 
  • We’ll provide Velcro dots/stickers for mounting. 

Step 7: Be at your poster during the dedicated poster session 

 A dedicated 90 minute poster session will run on Wednesday 6 May, 12:15–1:45pm. 

  • Please be stationed at your poster for this session 
  • This is the main time delegates will seek you out for discussion and Q&A 

Step 8: Pack down and take your poster home 

At the end of the conference: 

  • Remove your poster from the board take it home with you by 5.30pm Wednesday 6th May. 
  • Any posters left behind will be disposed of and a disposal fee may be levied.
